Step-by-step instructions for admin and employee users

Getting Started

Visit buildright.sonandigital.com to reach the public site. The navigation bar at the top always shows the business name "BuildRight" (as text) alongside two login buttons in the top-right corner:

  • Admin Login (muted) — navigates to /#login for business owner access
  • Team Login (orange, bold) — navigates to /#employee-login for field staff access

The public hero section shows your business logo (large, on the left) when one has been uploaded in Settings. When no logo is set, the business name and tagline fill the full hero width. The public site also contains a "Get a Quote" form that sends service requests directly to the admin inbox.

1. Dashboard

Who uses this: Admin only

After logging in at /#login, you land on the Dashboard. It shows metric cards giving you an immediate snapshot:

  • Number of open (new, unactioned) service requests
  • Number of appointments in the next 7 days
  • Number of active projects
  • Total amount outstanding on unpaid invoices

Use the left sidebar to navigate to any module. The sidebar is always visible while you're in the admin portal.

2. Service Requests

Who uses this: Admin only

Service requests are submitted by potential customers using the "Get a Quote" form on the public site. Every submission appears here automatically.

Viewing a request

The list shows: customer name, contact details, service type, preferred date, and current status. Click any row to see the full details including address and notes.

Updating status

Change the status dropdown to reflect where things stand:

Deleting a request

Click a request, then click Delete. This permanently removes it — use only for spam or duplicate submissions.

3. Engagements (Appointments)

Who uses this: Admin only

Track on-site visits, estimates, and consultations as engagements. Engagements support one-off and recurring schedules.

Creating an engagement

  1. Click + New Engagement
  2. Enter a title (e.g., "Site Visit — Smith Residence")
  3. Select the client (optional), service type, date, and time
  4. Set duration in minutes and the site address
  5. Assign a contractor from your team (free text)
  6. Set status (Scheduled by default)
  7. Optionally check Recurring Engagement — see below
  8. Add any notes, then click Save Engagement

Recurring engagements

Check the Recurring Engagement checkbox to repeat the engagement automatically. Once checked:

  • Choose a Frequency: Daily, Weekly, Bi-Weekly, Monthly, or Custom Weekdays
  • Optionally set an End Date to stop the recurrence on a specific day
  • If you choose Custom Weekdays, a row of day buttons (Sun Mon Tue Wed Thu Fri Sat) appears — click to toggle each day on or off. Selected days are highlighted

Recurring engagements show an orange "↻ Weekly" (or your chosen frequency) badge in the list view.

Editing or deleting

Click Edit on any engagement card to reopen the form. All fields including recurrence settings are editable. The Del button permanently removes the engagement (confirmation prompt appears).

4. Projects (Jobs)

Who uses this: Admin (full management) and Employees (view and update status)

Projects are the active work orders — the jobs your team is doing.

Creating a job

  1. Click + New Job
  2. Select or create a client
  3. Choose a service type from the dropdown (configured in Settings)
  4. Enter the service address
  5. Set the scheduled date and time
  6. Enter labor cost and material cost in dollars (displayed as dollars; stored as cents internally)
  7. Set initial status to Scheduled
  8. Choose recurrence if this is a repeating job: None / Weekly / Biweekly / Monthly
  9. Add any notes for the crew
  10. Click Save

Jobs appear on the Calendar as purple events.

5. Clients

Who uses this: Admin only

A contact directory for all your customers.

Adding a client

  1. Click + New Client
  2. Enter name, email, phone, and address
  3. Click Save

Client detail view

Click any client name to open the detail page. You'll see tabs for their Jobs, Estimates, and Invoices — a complete history of your relationship with that client.

6. Estimates

Who uses this: Admin only

Issue cost estimates to clients before work starts.

Creating an estimate

  1. Click + New Estimate
  2. Select the client
  3. Add line items: each line has a description, quantity, and unit price
  4. The total is calculated automatically
  5. Add notes if needed
  6. Save as Draft to work on it, or save and immediately mark as Sent

7. Invoices

Who uses this: Admin only

Bill clients after work is complete.

Creating an invoice

  1. Click + New Invoice
  2. Select the client
  3. Add line items (same format as estimates)
  4. The total is calculated automatically
  5. Add any notes or payment terms
  6. Save as Draft initially, then mark Sent once delivered to the client

Note: Mark invoices as Paid manually once you receive payment (bank transfer, cash, etc.).

8. Calendar

Who uses this: Admin only

A monthly calendar showing all scheduled activity at a glance.

  • Blue events — Appointments
  • Purple events — Projects / Jobs

Navigate between months using the arrow buttons. Click any event to jump to its record in the Appointments or Projects module. Events are created and edited in their respective modules — the calendar is a read-only view.

9. Reports

Who uses this: Admin only

The Reports module shows an aggregate summary of business performance:

  • Total jobs completed (all time and current month)
  • Total revenue from paid invoices
  • Outstanding receivables (sent/overdue invoices)
  • Service request volume by status

Use this as a monthly check-in to track how the business is growing.

10. Settings

Who uses this: Admin only

Configure your business profile. Changes take effect immediately.

Business details

Update your business name, phone, email, and address. These appear on the public-facing site so clients can contact you.

Service types

Manage the list of services you offer. These populate the "Service Type" dropdown in the public quote form and in the admin Job form. Add or remove services as your offerings change.

Logo upload

  1. Click Choose File (or the logo upload area)
  2. Select an image from your device (PNG or JPG recommended)
  3. The logo is saved to the database and immediately appears large (~200px) on the left side of the public site hero

If no logo is uploaded, the business name and tagline fill the full hero width instead.

Change password

  1. Enter your current admin password
  2. Enter your new password
  3. Confirm the new password
  4. Click Save

Default password at setup is Admin@2026. Change this immediately after your first login.

11. Team Management

Who uses this: Admin only

Manage the employees who use the Employee Portal to view jobs and update status from the field.

Adding an employee

  1. Go to Team in the sidebar
  2. Click + Add Employee
  3. Enter the employee's name and phone number
  4. Set a 4-digit PIN — the employee will use this to log in
  5. Click Save

Editing an employee

Click any employee name to open the edit form. You can update their name and phone. To change their PIN, enter a new 4-digit PIN in the PIN field and save.

Resetting a PIN

If an employee forgets their PIN, edit their record and set a new PIN. You cannot view the current PIN — only reset it.

Removing an employee

Click the employee's record and click Delete. They will immediately lose access to the Employee Portal.

12. Employee Portal

Who uses this: Field staff / employees

The Employee Portal is a simplified interface for team members to view their jobs and mark progress from the field. It is separate from the admin portal.

Logging in

  1. Go to buildright.sonandigital.com
  2. Click Team Login (orange button, top-right of the nav bar)
  3. You will be taken to /#employee-login
  4. Enter your name (as set up by the admin) and your 4-digit PIN
  5. Click Login

Viewing your jobs

After logging in, you see a list of jobs assigned to you. Each job shows: service type, address, scheduled date and time, current status, and any notes from the admin.

Updating job status

Tap a job to open it. Change the status (e.g., from Scheduled to In Progress when you arrive on site, then to Completed when done) and save. The update is reflected immediately in the admin portal.

Logging out

Click Sign Out. The page reloads to the public site. Your session is cleared.
