Login at bernies.sonandigital.com → click Admin Login at the bottom of the public site. Default password: Admin@2026 — change immediately after first login.

Logging In

Navigate to bernies.sonandigital.com, scroll to the bottom, and click Admin Login. Enter your password and click Log In. If the password has never been changed from the factory default, an amber banner appears on every page prompting you to set a new one — click the banner or go to Settings → Change Password.

On mobile, the sidebar collapses behind a hamburger (☰) button in the top bar. Tap it to open the navigation drawer. Tapping any nav item closes the drawer.

Dashboard

The first screen after login. Four stat cards display live counts: today's scheduled jobs, total active clients, new unread service requests, and total revenue (all time). Below the cards, a Recent Jobs panel lists the last ten jobs in reverse chronological order with client name, service type, status badge, and scheduled date. Click any job to open it.

Jobs

Jobs are the core workflow — each one is a scheduled field visit. Jobs are displayed as cards. A red pill badge on the sidebar "Jobs" item shows how many jobs are scheduled for today.

Search, Filter & Sort

The Jobs view opens showing upcoming jobs only (Completed and Cancelled are hidden by default) sorted by earliest scheduled date. Four controls let you refine the view:

Creating a Job

Click + Add Job. Fill in: Client (dropdown from Clients), Service Type (from Settings), Scheduled Date, Scheduled Time, Address (defaults to client's service address), Price, Duration (minutes), Recurrence, Assigned Employee, and Notes. Save to create.

Job Status Flow

Scheduled → In Progress → Completed (or Cancelled at any stage). Update status from the job edit modal or directly from the list view's status dropdown.

Calendar

A full month-view calendar where each day shows green dots for each scheduled job. Click a day tile to open a job-creation modal pre-filled with that date. Use the month navigation arrows to move forward or backward. Jobs display client name and service type on the calendar tile when space allows.

Clients

The client directory stores all customer records. Fields: name, email, phone, service address, city, zip, status (Active / Inactive), and notes. The list view is searchable by name or email. Click a client row to open the detail panel, which shows all linked jobs in a history tab — useful for reviewing a customer's complete service record.

Employees

The employee roster is used to assign field staff to jobs. Each employee record has: name, email, phone, and role. Create employees here before assigning them in the Jobs form. Employee records can be edited or deleted at any time.

Estimates

Estimates let you quote a customer before converting them to a paying client. Fields: client (optional — a name for new prospects), services (comma-separated), total amount, status, valid-until date, and notes.

Estimate Statuses

Draft → Sent → Accepted (or Declined). Update status manually as the quote progresses.

PDF & Email

The estimate list and detail view each have a PDF button that generates a professional PDF (jsPDF) showing the business logo, estimate number, line items, total, and footer. The Email button opens your default mail client with the estimate details pre-filled in the body.

Convert to Invoice

When an estimate is accepted, click Convert to Invoice. A new invoice is created automatically from the estimate's client and amount, with status set to Draft. Navigate to Invoices to add line items and send.

Invoices

Invoices are the billing record sent to clients after work is completed. Invoice numbers auto-increment from the counter set in Settings (default starts at 1001).

Line Items

Each invoice supports multiple line items with description, quantity, and unit price. The total is computed automatically. Add or remove line items in the invoice edit modal.

Invoice Status Flow

Draft → Sent → Paid (or Overdue). Mark an invoice Paid to record the payment date. Overdue invoices are flagged with a red status badge in the list view.

PDF, Email & Print

The PDF button generates a printable PDF with logo, invoice number, line items table, total, and footer message. The Email button opens a pre-filled email. The Print button opens a clean print view optimised for paper. A paid invoice cannot be deleted — the delete button is disabled once status is Paid.

Service Requests

Inbound requests submitted through the public website estimate form. Each request shows the prospect's name, email, phone, requested services, and their message. The Requests sidebar item displays a red badge with the count of unread (status = New) requests.

Request Statuses

New → Contacted → Scheduled → Closed. Update status to move the request through the follow-up workflow and reduce the sidebar badge count.

Convert to Client

Click → Convert to Client on a request card. The system automatically creates a Client record and schedules a first Job from the request's service type and preferred date. No re-typing needed.

Reports

The reports page shows four live analytics panels calculated from the actual database:

No date filtering or export is required — all data is live. Refresh the page to get the latest figures.

Settings

Business Information

Set the business name, phone, email, and address. These values appear on the public site and on generated PDFs.

Logo

Upload a PNG, JPG, or GIF logo. The logo appears in the sidebar (replacing the 🌿 icon), on the login screen, and on all PDFs. Remove the logo to revert to the default icon.

Service Types

A JSON array of strings that drives both the public estimate form and the Job service-type dropdown. Example: ["Lawn Mowing","Edging & Trimming","Fertilisation","Leaf Removal"]. Update this field to add or remove service offerings — no code changes required.

Invoice & Estimate Numbering

Set the starting number for new invoices and estimates. The counter increments automatically. Set these before going live to match any existing numbering series.

Invoice Footer

A text line printed at the bottom of every invoice PDF. Typically used for payment terms or a thank-you message.

Blocked Days

Mark days unavailable so they are visually flagged on the calendar. Three types are supported:

Each blocked day entry can have an optional reason note. Entries are listed under the form and can be deleted at any time.

Change Password

Enter the current password, then a new password meeting all four requirements: 8+ characters, uppercase letter, number, and symbol. Real-time strength indicators (āœ“/ā—‹) guide the new password. Confirm the new password and save. The default-password warning banner disappears permanently after a successful change.

User Guide

The User Guide link at the bottom of the sidebar (below a divider line) opens the in-portal help guide in the main content area. It covers every feature in plain language and is intended for the business owner or any staff member learning the system. The guide loads as an embedded page — no new tab opens.
